For our Headquarter in Berlin we are looking for a Office Assistant (m/w) part time

PURPOSE OF THE POSITION
The office assistant is responsible for providing secretarial, clerical and administrative support in order to ensure that municipal services are provided in an effective and efficient manner.
 
 
RESPONSIBILITIES
  1. Provide office support services in order to ensure efficiency and effectiveness within the KCRs office main activities
  2. Receive, direct and relay telephone messages and fax messages
  3. Direct the guests and the general mandates to the appropriate staff member and conference room
  4. Pick up and deliver the mail
  5. Open and date stamp all general correspondence
  6. Maintain the general filing system and file all correspondence
  7. Assist in the planning and preparation of meetings, conferences and conference telephone calls
  8. Make preparations for Council and committee meetings
  9. Maintain an adequate inventory of office supplies
  10. Perform clerical duties in order to maintain KCRs administration
 
 
MAIN ACTIVITIES
 
Develop and maintain a current and accurate filing system

 
  1. Monitor the use of supplies and equipment
  2. Coordinate the repair and maintenance of office equipment
  3. Performs office assistant functions
  4. direct calls as appropriate and take adequate messages when required
  5. Greet, assist and/or direct clients, candidates and general visits
  6. Provide administrative services to the staff
  7. Perform other related duties as required
